SEP136 - REPORT COUNTDOWN - November 2008


  • Use AMS Math.
  • Do not use underscores in figure filenames, e.g., \plot{model_vel} breaks the report.
  • Use Header Commands

  • Do not use \email command.
  • \def works fine; however, \newcommand causes problems when is repeated for defining the same command (e.g include the same macro file in two deifferent aricles) . If you define a new commnd you must add your initials at the beginning of the command name (e.g. \providecommand BLBmycommad {#1}{\par}.) One work-around is \providecommand. The \providecommand is identical to the \newcommand if a command with this name does not exist; if it does already exist, the \providecommand does nothing and the old definition remains in effect.
  • In order to fully test each of your papers, you need to make a duplicate copy of the directory containing it (e.g. mohammadA and mohammadB) into the main report directory and try to build it. For this purpose, you may make a local copy of the report directory in your own home directories and create two copies of each of your paper directories (e.g. mohammadA and mohammadB). Then try to build the report with only your own papers in it and see if it works fine or not. If not, you may consider debugging your paper to fix the problems.


  1. Inexperienced writers to arrange outside editorial help (Biondo/Bob to contact students requiring outside editing).
  2. Outside editors proof each paper at least TWICE before Oct 17th (no NEW text can be added to papers after October 17th).
  3. Update sponsor electronic access file on koko (/private/.htaccess).
  4. Permission received for all data to be published? (please check)
  5. Assign person to back up (/wrk1/sep136) every day.


  1. Mohammad to update Reports page.


  1. Post previous biographies.
  2. Post list of SEP articles published or known submitted.
  3. Seminar discussion on how to enter references in papers.
  4. Copy all paper skeletons to /wrk1/sep136/ (no additional papers will be accepted after this).
  5. Biondo/Bob reads abstract and introduction.
  6. Diane checks header/footer and reference style.
  7. Mohammad to begin building table of contents.

  1. ALL papers should be finished. Exception: Only persons with more than one article may have ONE unfinished article.
  2. Diane to get rough estimate on final page count for report (printers need final size for binding/engraving).
  3. For those designated as inexperienced writers, ALL papers must have gone thru outside editing TWICE & be approved by Biondo/Bob as acceptable. If not, it will be removed from report.
  4. Biondo/Bob to doublecheck on permission to use real data.
  5. Biondo/Bob assigns proofreaders for papers by inexperienced writers.


  1. (ALL DAY) First round of proofreading for inexperienced writers.
  2. Mohammad generates sign-up file and RCS directory.
  3. Diane lets everyone know general sign-up is open, how many papers to sign up for, and reminder to use sign-up instructions at:
  4. Sign up for papers to proofread on Monday and Tuesday. Diane lets people know how many papers to review in Round 2.
  5. Return proofread papers to inexperienced writers.


  1. Deadline to finish ALL articles, including all figures. A file must exist in each directory.
  2. Mohammad & Diane to check that everybody has signed up and all exists in each directory. (student??) tells authors to email their reviewers when papers are ready for review & typos, labels, references, etc., can be corrected.
  3. If reviewers have not heard anything from authors, they can start reviewing the papers from report directories.
  4. Generate filler pages.


  1. Proofreading time (check sign-up sheet for your papers). Check proofreading instructions.
  2. Deadline to return proofread papers to authors.
  3. Nominations for title page (to be presented at next seminar).
  4. Clean up paper directories. Install correct makefiles.
  5. Make papers reproducible.


  1. Respond to proofreaders' suggestions/complaints.
  2. Final corrections on ALL papers.
  3. Final vote on title page.
